Payroll Management - Controlling Your Business Costs

Each permanent employee of any company is paid for the work that he or she does. Monetary compensation is called salary, and such payments are entered into a journal known as a payroll. Most companies pay different amounts to different employees, and most businesses have many employees. Thus, managing those records is complicated and very important to any business. As a result, a separate branch of business management has been developed, devoted entirely to keeping these records straight and confidential. This branch of management is now known as payroll management.

Traditionally, each firm had a set of dedicated staff, drawn from human resource department and finance department, who maintained the payroll records for the firm. However, gradually the scene has changed. Having realized that dedicated payroll management teams create unnecessary economic burden, firms are now outsourcing management of payroll services or at least some part of it to firms specializing in payroll records.

These firms are able to offer payroll management services at a fraction of the cost incurred on dedicated in-house payroll staff. The quality of their services is excellent. And after handling payroll records of several firms spanning most of the industries, these firms have developed process expertise.

When you consider outsourcing your payroll management to an external company, you need to carefully research whether that company is credible and whether it will keep your records secure. Payroll data is confidential, and should not be revealed to anyone outside the company, so a legally binding agreement is necessary for management of a company's payroll to be outsourced.

The management of records for payroll is also aligned with benefits and compensation. Most companies have benefits such as health insurance, meal vouchers, company transport or other transportation, etc. for their employees. Some of these excess benefits are required by law, making the recording of data on them and reporting to the proper government officials a necessity.

Although payroll management is a routine function, payroll services are strategically important. Salaries comprise the largest overhead portion of a firm's accounting records and their correct management is critical to overall employee satisfaction. This, in turn, can affect employee motivation and business productivity.
